Camera Ready Paper Submission Guidelines
If you have received an acceptance email from the TPC, please use the author instructions to prepare your final camera ready paper.
You need to follow the following five (5) steps for your camera ready submission.
Step 1: Copyright Information (at header and footer)
- 1. Please revise your paper according to reviewers' comments (if any).
- 2. Carefully check the contents of your paper to ensure that similarity of the contents of your paper is not more than 30% with other. Otherwise, your paper may not be included in IEEE Xplore Digital Library.
- 3. Authors are requested to include the appropriate copyright clearance code notice at the bottom of the first page of each paper according to the guidelines set forth in the Cataloging/Copyright Instructions for an IEEE
- 4. Conference Proceeding. Detailed instructions as follows
- For papers in which all authors are employed by the US government, the copyright notice is: U.S. Government work not protected by U.S. copyright
- For papers in which all authors are employed by a Crown government (UK, Canada, and Australia), the copyright notice is: 978-1-5386-9111-3/19/$31.00 ©2019 Crown
- For papers in which all authors are employed by the European Union, the copyright notice is: 978-1-5386-9111-3/19/$31.00 ©2019 European Union
- For all other papers the copyright notice is: 978-1-5386-9111-3/19/$31.00 ©2019 IEEE
- 5. According to reviewers' comments and suggestions, please prepare review response in a separate sheet.
- 6. Also, please add the conference title at the top-right side of the first page of each paper as follows: 2019 International Conference on Electrical, Computer and Communication Engineering (ECCE), 7-9 February, 2019

Step 2: Prepare IEEE Compatible PDF
Prepare PDF of the camera ready version of your paper. Your PDF file must be created and verified by IEEE PDF eXpress before submitting.
- 1. Go to IEEE PDF eXpress Website at https://www.pdf-express.org.
First-time users: |
a. Click (https://www.pdf-express.org/) b. Enter Conference ID (44942X), your email address, and choose a new password. Continue to enter information as prompted. c. Check that the contact information is still valid, and click "Submit". An Online confirmation will be displayed and an email confirmation will be sent verifying your account setup |
Previous users, but for a new conference: |
a. Enter Conference ID (44942X), your email address, and enter the password you used for your old account. b. When you click "Login", you'll receive an error saying you need to set up an account. Simply click "Continue". By entering your previously used email address and password combination, you will enable your old account for access to this new conference. c. You will receive online and email confirmation of successful account setup. |

- 2. For each conference paper, click "Create New Title".
- 3. Enter identifying text for the paper (title is recommended but not required)
- 4. Click "Submit PDF for Checking" or "Submit Source Files for Conversion"
- 5. Indicate platform, source file type (if applicable), click
(For LaTeX users, create a zip file that includes dvi and your eps figure files all together, and then upload the zip file for the system to convert into a compliant PDF file. For MSWord users, upload the Word file and let it convert and return a compliant PDF file).
Step 3: IEEE e-Copyright Form (eCF)
Submit copyright form for each paper - separately. Corresponding author / Responsible author/ co-author should do it. You must inform ALL co-authors [if any] about this copyright form. The title / authors in the copyright form must match exactly with camera-ready submission. Author needs to follow the step by step to fill IEEE copyright Form.
- Log in to PROCONF author portal at: http://myproconf.org/conferences/ecce-2019/app/login.php
- From the author portal click on paper details
- For the accepted paper(s) click on the "Copyright Submission"
- From the Copyright page select the "Download E-copyright Form (Recommended)". This will redirect you to IEEE e-copyright portal.
- From the IEEE e-copyright page follow the instruction to complete the e-copyright form. Click on start to begin the steps
- Check the details. WARNING: DO NOT CHANGE THE TITLE, AUTHOR(s) NAME AND SEQUENCE
- Read the policies, check mark on "I Have read and agree … " and Click "confirm"
- Give a Final Check and Provide the Digital Sign.
- Download the completed e-copyright form (it will also emailed to all the authors)
Step 4: Make zip file
A camera-ready submission file is uploaded as a zip file containing the following:
- A copy of the compliance message from PDF eXpress.
- The PDF eXpress-passed compliant camera-ready copy of the paper.
- PDF version of IEEE Copyright Form.
- Review response in a separate sheet.
The name of the zip file name is the same as Paper ID you used in your 1st (initial) submission (for example: 105.zip)]
Step 5: Upload zip file
- Submit the ZIP file [Camera-ready paper (after checking from IEEE PDF eXpress), eCF, compliance mail from PDF eXpress in pdf format, review response in pdf format] through Author Console
- Remember that you also need to submit copyright form separately through Author Console.
Note that you do not need to delete previous paper. Please ensure that the abstract of your paper and the information about all authors, their emails, affiliations, etc. at the online system is exactly same as those are mentioned in the paper in PDF. We will use this information for printed conference digest, final program, awards, certificates, etc. and we will not use the information from the PDF for these purpose.
